The Process Involved In Procuring IT Software

By Darren Folkes

The reason for this process is because there are a range of factors that are involved when it comes to as this relates to IT technology procurement and implementation. An example of the factors that we have mentioned would be budget constraints, or compatibility issues with the current hardware. In short, a company would need to have certain procedures that comply with procurement software and procurement solutions in place to avoid confusion and resultant problems of functionality.

When you need to obtain IT equipment and procurement software you are known as the requestor. As the requestor you will be required to complete what is known as a request form for the equipment and software that you require. This request form will also contain information regarding the product, the system requirements that are necessary, and a host of other pertinent information as it relates to your order. When the requestor is satisfied that the request form has been correctly completed it is then forwarded to the IT department of the vendor. If there are any issues regarding compatibility that arise, these will affect the functionality of the software and equipment, and so will be brought to your attention.

Depending upon your preference, the completed request form is sent to the vendor either via hand delivery or email. If a support list of software is used it invariably means that you will be spared having to complete further forms. On occasion, additional software is needed, and in this case the requestor might well need to complete another form.

On occasion the equipment and software will need to be tested to determine whether it is compatible with the present system, or not.In some instances you will be required to fill out a checklist or evaluation form.Understand that the responsibility of testing the hardware with the present system invariably falls to the requestor an their IT staff.Any time an issue arises as it relates to compatibility; the new equipment and software obviously cannot be utilized.

As we can see, the new IT software and equipment that is procured will be handled by you, the requestor, and/or your IT department. They will set up the equipment and ensure that the software for the equipment is properly installed and functioning as it should without any problems. When the set up and installation have been completed the IT department will then complete the checklist and this is when the IT procurement order will then be closed off.Any time that new software and equipment is installed and operating properly, training of the staff working with it will be usually be called for.The training of the personnel usually includes operational procedures and documentation, among other things, to ensure that they can work with the new equipment and software without mishaps.Training of the staff is essential to make sure that the procured software and equipment functions as it should with the existing system.
