The Importance Of Using Teleform

By Shanna McNeil

Teleform is an application used to acquire data from printed and handwritten sources. It is intended to reduce the time used in data entry and manual procedures associated with form handling. It captures data from the various sources and integrates it into computerized business applications that offer more security to the information. There are also applications that help to classify forms, collect data from questionnaires on the internet and gather information over the telephone. The initial version of this software suite was called Cardiff teleform.

The main components of the software are a serial number, four digital codes and four cornerstones. A cornerstone is black in color and is situated at each corner of the forms. The four cornerstones are used to position the form accurately. The digital codes help to identify the various forms uniquely. The serial number is made of seven digits and tracks and links forms that are made up of more than one page.

This application has several advantages as compared to other data entry packages available in the market. It has a simple structure and the likelihood of errors is very low and the cost of maintenance is not high. There are no overhead costs and offers a high degree of stability. The application has high recognition ability and can distinguish a variety of characters. It also helps in collecting data from the documents of low quality. This tool is particularly useful in collecting and analyzing data from sample surveys.

The data to be analyzed is recorded on a number of forms which are faxed into the computerized system. The graphical user interface is responsible for scanning and verifying the documents presented. The documents are then placed in the appropriate groups they belong to depending on the subject of their content. This is followed by recognition and validation and then changed into a structured format of electronic for easy access. This format of data allows easy searching of information when required for business functions.

There are several procedures that have to be followed when processing documents. The first step involves the filling out of the documents. The data in these forms is then validated and the document is also checked to for any missing values. Any adjustments that may be required are made and the form is then faxed into the computer server. The computer program assesses the form and changes it into the appropriate format for processing. The staff carries out a review on the documents and stores them in the database.

The software is widely used in modern offices to perform a number of functions. They allow users to create forms that can be processed using machines, scan images and enable users to examine and correct data. It reads information contained in completed forms and transfers it to a database for proper storage. Research projects conducted in this field have help to increase the number of features in this application. Users can create forms independently or template them based on already existing ones.

This software relies on a number of technologies in its functionality. These are the optical character recognition, bar code recognition, optical mark reader and the intelligent character recognition. There are also image scanners which convert handwritten material into text. These scanners also facilitate the flexibility of the whole process.

Teleform is owned by a company known as Hewlett Packard. It has made form processing easier and more efficient. It is used in finance, marketing, insurance, accounting and several other business departments.
